Company Overview
The Key Industries team purchased the Cut’n’Paste weed gels WooCommerce site with a clear plan to take over full management by the end of November. Our main priority was to move the entire digital setup into the Key Industries ecosystem without causing any hiccups for existing customers or slowing down the daily sales momentum.
To make the handover work, we had to create an integration between the WooCommerce frontend and Key Industries' MYOB Acumatica platform. This was the perfect opportunity to clean up fragmented legacy data and move to a fully integrated, ERP-driven model. By hitting our firm November deadline, we ensured a clean break from the old management and set the business up with a seamless, automated system built for growth.
Challenge 1
Managing the Takeover and Data Cleanup
The main goal was to take over the active WooCommerce site while keeping the daily orders flowing without disruption. The transition was tricky because the existing product data was a bit of a mess—many items didn’t have SKUs at all, or the ones they had didn't match the master records in MYOB Acumatica.
This misalignment meant we couldn't automate anything, leaving the team stuck with manual updates that risked inventory errors. To make the takeover work, we had to reconcile the entire product catalogue and set up a unified SKU structure, all while making sure the customer’s shopping experience stayed seamless.
Solution: Seamless Integration and Collaboration
We worked closely with the Key Industries team and their consultants at BDO to map out all the data. We audited every single product to make sure WooCommerce and MYOB Acumatica were perfectly synced with a 1:1 relationship, creating a solid foundation for a fully automated integration.
Once the data was cleaned up, we set up a synchronization layer to bridge the gap between the ERP and the web store. This allowed MYOB Acumatica to act as the single source of truth, automatically pushing real-time stock levels and specialized pricing directly to the WooCommerce site.
Result: Efficiency and Accuracy at Scale
The integration turned the Cut’n’Paste site into a self-sustaining system. By automating the stock and pricing updates and the sales order sync to MYOB Acumatica, we got rid of the need for manual data entry, which drastically reduced human error and ensured customers always see 100% accurate information.
Challenge 2
Managing Product Variations and Sizes
A big part of the project was figuring out how to handle product variations using the WooCommerce ‘Options’ module. We needed a way to group identical products—like specific weed gels or tools—that come in different sizes, so the shop stayed clean and easy for customers to use.
The technical challenge was making sure every single variation, like a 5L vs. a 20L bottle, was correctly mapped to its own unique SKU in MYOB Acumatica. Without this grouping logic, the site would have been cluttered with duplicate listings, making it a headache for customers to find the specific size they needed.
Solution: Smart Product Grouping
We used the WooCommerce Options module to pull these variations together onto single product pages. We set up the integration to push all the individual item data from MYOB to WooCommerce, where they were automatically categorised as "variable products" based on their size.
By working within the Options module, we ensured that when a customer picks a size on the website, the system talks directly to the correct SKU in MYOB. This setup allows for a seamless data flow, meaning size-specific pricing and stock levels update in real-time without any manual work from the team.
Result: A Better Customer Experience and Reliable Data
The result is a much cleaner, professional storefront that makes it easy for Cut’n’Paste customers to find what they want. By grouping products by size into simple dropdown menus, we got rid of the clutter and made the whole shopping process more logical.
On the business side, this integration keeps the data 100% accurate. Every time a customer buys a specific size, it triggers the correct inventory deduction in MYOB Acumatica. This gives the team total visibility over their stock levels and eliminates the risk of shipping the wrong size or overselling.
